The Chattanooga Area Food Bank (CAFB) is seeking a dynamic, team-oriented individual who is committed to fulfilling our mission in leading a network of partners and uniting the community to eliminate hunger by feeding, nourishing and empowering those we serve.

Job Description:

Reporting to the President & CEO, the Executive Assistant provides daily critical administrative and business support.  This position interacts with a diverse group of external and internal stakeholders including donors, volunteers, community leaders, board members, and staff; including serving as the primary liaison to our Board of Directors. The ideal candidate must have the ability to exercise superior judgment and confidentiality at all levels of the organization.

Internal-Facing Responsibilities (70%):

Anticipates the daily needs of the CEO as it relates to all meetings and appointments, including scheduling of, preparation for, and any follow-up actions needed.
Assists CEO with major donor portfolio strategies, including research, moves management, and donor notes.
Engages with the senior leadership team, prepares weekly agendas and meeting minutes to ensure active team communication and meeting of deadlines.
Supports the executive leadership team as needed, to ensure cross-functional communication and mission alignment across departments.
·         Supports a variety of human resource functions including the coordination of monthly staff meetings, and other staff-related events as directed by the CEO.

Supports development team, especially during critical fundraising campaigns and events.
External-Facing Responsibilities (30%)

Serves as a primary liaison for the Board of Directors, planning, scheduling and managing calendars for all board and committee meetings, as well as ensuring all agendas, meeting documents and minutes are prepared and posted in a timely manner.
Facilitates other board-related events, including board orientations and retreats and maintains all records as it relates to board attendance and compliance.
Interfaces daily with all guests, volunteers, staff and visitors.
Other duties as assigned.
Additional Skills:

·         Excellent written and verbal communication skills and the ability to prioritize and manage multiple activities with conscientious attention to organization and detail.

·         Excellent MS Office skills and experience using various technology platforms to streamline processes.

·         Detail-oriented and organized, with attention to content accuracy and deadlines.

·         Ability to problem solve, be nimble, anticipate business needs and exhibit professional judgment with respect to confidentiality at all times.

·         Energetic and passionate about our community and our mission to end hunger.


·         Experience providing administrative support in a fast-paced environment required, experience working with in the nonprofit sector or with a board of directors preferred.

·         Bachelor’s degree and at least two years’ experience as an Executive Assistant required.
