The Office Manager plays a critical role in ensuring the smooth and efficient operation of First Things First. This position combines administrative expertise, organizational record-keeping, donor database management, and leadership support to strengthen the organization’s internal processes and overall effectiveness. This position will serve as the face of the First Things First office, welcoming guests and participants.

Key Responsibilities
Administrative Support
Manage day-to-day administrative tasks, including but not limited to picking up mail, handling correspondence, monitoring phones, scheduling meetings, managing office calendars and managing the office space.
Maintain organizational records, ensuring that files (digital and physical) are up-to-date, well-organized, and easily accessible.
Assist with the preparation of presentations, documents, and reports for leadership and board meetings.
Support programming and evaluation personnel with updating participant database as needed.
Monitor office supplies and equipment; manage vendor relationships and purchasing processes.
Serve as a resource for staff, offering administrative support to ensure operational needs are met.
Support with VP of Operations with financial tasks, including but not limited to coding invoices, updating budgeting trackers, and credit card expense reports.
Donor Database Management
Manage and maintain the organization’s donor database (Blackbaud Raiser’s Edge).
Ensure accurate entry and tracking of donor information, gift processing, acknowledgments, and reporting.
Support fundraising efforts by preparing donor lists, tracking pledges, and coordinating donor outreach or follow-ups.
Leadership Team Support
Provide high-level administrative assistance to the CEO & President and leadership team, including managing tasks, preparing materials, and supporting special projects.
General Organizational Support
Support Events Strategist with event planning, including logistics for staff meetings, board meetings, and fundraising events.
Develop and refine office policies and procedures to improve operational efficiency.
Qualifications
Required:
Bachelor’s degree or equivalent experience in office management, administration, or a related field.
2+ years of experience in an administrative or office management role, preferably in a non-profit environment.
Proficiency in Google Workspace, Microsoft Office Suite and familiarity with donor databases or CRM systems.
Excellent organizational skills with keen attention to detail and accuracy.
Strong written and verbal communication abilities.
Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
Preferred:
Experience with donor database software (e.g., Raiser’s Edge, Salesforce, DonorPerfect, or similar).
Previous experience supporting leadership teams in a non-profit setting.
Ability to work in a hybrid and flexible work environment.
